Cycling Club Awards: Ideas That Reward the Whole Club, and How to Run the Dinner
Award categories that reward volunteers, beginners and regulars as well as the fast, a nomination process members trust, a run sheet for the evening and a budget sheet for the dinner.
End-of-season awards tell every member what the club values: being quick, turning up, getting better or keeping the club running. Give 8 to 10 headline awards that cover four things: speed (club champion, time-trial series), participation (a club-run cup), progress (Most Improved, Newcomer of the Year) and service (Volunteer or Ride Leader of the Year), each with a one-line criterion and a named decider.
Few clubs check what theirs say. We did. On 21 October 2026 we read the published award lists of five cycling clubs and sorted every award by what it rewards. Of 55 awards, 38 go to speed or race results. Three go to volunteering. One club gave 20 trophies in 2019 and none to the people who mark the course or lead the Sunday ride.
Count your trophies before you add any
The five clubs: Great Yarmouth CC (2019 dinner report, 20 awards), Astley & Tyldesley, a cycle speedway club (2018 presentation, 12), Lancaster CC (club page, undated, 8), Lakeside Wheelers in Mullingar (December 2024 report, 4) and Seacroft Wheelers (awards list, 19 January 2019, 11).
| What the award rewards | Awards (count) |
|---|---|
| Speed or race results | 38 |
| Progress or newcomer | 7 |
| Participation (attendance, distance, keenness) | 5 |
| Service or volunteering | 3 |
| Unclear from the page | 2 |
That's 69 % for speed, 13 % for progress, 9 % for participation and 5 % for service. The classification is ours: a cup for the fastest novice counts as speed (Astley's Best Novice as progress), as do "most meritorious ride" and results-based "rider of the year". We counted named awards and award categories, not individual medals: Astley's 100 rider awards are 11 in our count (six league and championship categories, five special awards), plus the Ron Hack cup, 12 in all; its gifts to 30 volunteers aren't counted as awards. Lancaster's "awards for performances in individual races" could make a ninth; we didn't count it. The clubs came from search and press reports; most race or time-trial. It's a snapshot, not a survey: awards grow one race cup at a time, and nobody owns the volunteer trophy.
The volunteer gap matters because volunteers leave. The Join In and Simetrica GIVERS report (2017, UK sports volunteers, data on over 300,000 people) found that 32 % of sports volunteers had stopped or reduced their volunteering in the previous year, against 17 % of volunteers in general. Its verdict: "Volunteers in sport need to be better recognised and rewarded."
Audit your own cabinet: tick one column per award (speed, participation, progress, service). If the service column is empty, that's your first new award. Repurpose a forgotten cup rather than buying one.
Award categories that reward the whole club
Each award needs two things the club pages we read rarely publish: a one-line criterion and a named decider. Without them, results look like the committee picking friends.
| Award | Criterion (one line) | Who decides |
|---|---|---|
| Club Person of the Year | Contribution across the whole year, on and off the bike | Members' vote from a shortlist |
| Volunteer or Ride Leader of the Year | Most consistent help: rides led, events marshalled, jobs done | Committee, from nominations |
| Newcomer of the Year | Joined this year, made progress and helped other new riders | Committee, from nominations |
| Most Improved | Biggest step up against their own start: moved up a pace group, first 100 km | Ride leaders' panel |
| Season's-best award | Ride closest to their own best time of the season | Results data |
| Club run award | Most club rides attended | Attendance records |
| Distance or challenge award | A big personal ride: first audax, an end-to-end, a club challenge finished | Committee |
| Young member award | Keenest or most improved rider under 18 | Youth coach or panel |
| Racing and time-trial awards | Champions, series and best all-rounder | Results data, presented as one block |
| Merit or memorial award | One outstanding achievement or act of the year | Committee |
| Moment of the Year | The ride or story the club will still be telling in five years | Members' vote |
Lakeside Wheelers' 2024 Most Improved went to a rider who moved from the B group to the A group. Spalding CC's Fisherman's Arms Trophy, as the Spalding Voice reported in August 2016, "is awarded to the member who records a time closest to their season's fastest time". A slow rider on a great day can beat the club champion.
One rule settles arguments in advance. Thornbury RC, a running club, told England Athletics in March 2023 that, for its annual volunteer recognition awards, "No member of the club committee is eligible for any of the awards while they are on the committee." We'd apply it to service and members'-vote awards too, and thank committee members at the annual general meeting instead.
Fun awards without the sting
Puncture of the year, the lanterne rouge (the last rider home), the wrong turn that added 20 km: done well, joke awards are what people talk about. Done badly, they're why someone doesn't renew. Three checks first:
- Does the recipient know and agree? Ask first; if they hesitate, drop it.
- Is it about the moment, not the person? Three punctures in one lane is funny. Weight, age, gender or speed isn't.
- Did anyone get hurt? Never joke about a crash where someone was injured.
Keep it to two or three, after the serious awards.
A nomination process people trust
A published calendar stops awards looking decided in the pub. Dunfermline CC reported in February 2018 that members nominated five candidates for Clubperson of the Year and then voted over several weeks. Thornbury makes "Recognition & Rewards" a standing item on every committee agenda "to make sure we don't overlook anyone who deserves to be recognised".
| When | What happens | Who |
|---|---|---|
| 8 weeks before | Publish the award list with criteria; open nominations | Secretary |
| 4 weeks before | Close nominations; shortlist the top 3 to 5 per voted award; compute data awards (results, attendance) | Results and membership secretaries |
| 4 to 2 weeks before | Members vote on the shortlisted awards | All members |
| 2 weeks before | Committee decides service awards; order engraving | Committee |
| 1 week before | Write one-sentence citations; brief presenters | Awards lead |
The nomination form needs four fields: who, which award, what they did (one concrete example), your name. Post it where members already read: keep club news in one channel.
Clubs disagree on how many awards to give. BC Randonneurs wrote into its 2005 awards process: "It is desirable that we limit the number of awards to ones that we value highly." Thornbury sets no cap on its volunteer recognition awards: "There is no limit to the number of awards we are willing to give each year, provided they meet the criteria." Our rule takes from both: a fixed set of 8 to 10 headline awards, new ones only by written proposal, plus unlimited certificates or small gifts for everyone who helped, read out as one list. Astley & Tyldesley gave gifts to 30 volunteers in 2018.
Beginners and non-racers: reward progress, not pity
Members can tell when an award means nothing. Use criteria a beginner can genuinely win: progress against themselves, attendance, helping others.
Thornbury's Helen Ralphs Memorial Award goes "to a club newcomer who has made great progress and who has supported other newer members". The second half matters: the newcomer who brings a friend to the beginner ride and waits with them on the climbs is a contender. Seacroft Wheelers' Most Improved in 2019, its dinner report says, went to a graduate of its Zero-to-Hero beginner programme. An award is one thank-you among several; see why members leave cycling clubs.
FFVélo's 2026 club affiliation file excludes "toute forme de compétition" and "toute organisation avec classement" from the federation's activities. A cyclo club runs no ranked events, so it has no race results to reward; it can reward kilometres ridden with the club, rides attended, a member's first long brevet and service, categories that suit any club's non-racers.
The dinner budget sheet
Otley CC cancelled its dinner for the 2023 awards "due to the low number of people that have bought tickets", refunded the buyers and promised to present the awards another way (club post). Fixed costs (room, trophies, printing, sound) don't shrink when fewer people come, so each ticket costs more and puts off more buyers.
The break-even ticket is: meal cost per head + fixed costs ÷ number of attendees. Same method as the membership fee calculation. Worked example, made-up inputs: fixed costs of 600 in your currency (room 250, trophies and engraving 250, printing and sound 100) and a meal at 35 per head. Use your own quotes.
| Attendees | Break-even ticket (€/£, example) |
|---|---|
| 20 | 65 |
| 25 | 59 |
| 30 | 55 |
| 40 | 50 |
| 50 | 47 |
| 60 | 45 |
| 80 | 42.5 |
Halving attendance from 40 to 20 raises the ticket 30 %, from 50 to 65. Going from 40 to 80 saves only 7.50 a head: the curve is steep where small clubs live.
- Set a go/no-go number and date. Pick the attendance where the ticket is still affordable, say 30 here. Three weeks out, or the venue's deposit date, whichever comes first, if sales are below it, switch format while cancelling is still clean. Paste into the club channel: "We need 30 tickets by [date] to keep the dinner room; 22 sold. Book this week or we'll present the awards at a café ride."
- Ask the venue in writing for its minimum number and the date the deposit becomes non-refundable.
- Pay for the volunteers from club funds. Inviting 8 key volunteers free at 40 attendees costs 8 × 50 = 400. If the 32 paying members carry it instead, their ticket rises from 50 to 62.50 ((600 + 35 × 40) ÷ 32). Show the 400 as a budget line at the AGM.
Running the evening: a run sheet
| Time | What happens |
|---|---|
| 19:00 | Arrival, drinks, award list displayed on the tables |
| 19:45 | Seated; welcome from the chair (2 minutes) |
| 20:00 | Main course |
| 21:00 | Awards, before dessert, while everyone's still there |
| 21:25 | Winners' group photo by a named photographer, photo consent checked for under-18s; joke awards, thank-you list, raffle draw |
| 21:40 | Dessert; the rest of the evening is social |
Allow about 2 minutes per award (our assumption): name, citation, walk up, photo. Twenty trophies, like Great Yarmouth's list, take 40 minutes. Keep it under about 25 minutes: read series results as one list and give stage time to the headline awards. The awards lead lays the trophies on a side table in presentation order, with numbered citation cards.
Each citation: one sentence, one specific fact: "Led 31 Sunday rides and never left anyone at a junction." Vary the presenters (a founding member, the youth coach, a sponsor; local cycling-clothing founders presented Seacroft's 2019 awards).
A perpetual cup carries history but needs engraving, a named holder and a return date (say, back to the secretary by 1 October, cleaned), or it ends up in someone's loft. A keepsake stays with the winner; Thornbury's 2022 awards were wood-turned from wind-damaged trees.
Ask before posting anyone's dinner photos.
If the dinner won't fill: other formats
If you miss your go/no-go number, or the club is too small for a function room:
- Awards at the AGM. Ten minutes at the end of a well-run AGM gives people a reason to come and costs nothing.
- A ride and café presentation. Cycling UK Louth held its annual lunch and prizegiving in May 2025 at a café.
- An afternoon presentation and social, as Astley & Tyldesley ran theirs (race footage on a big screen, a buffet): good for a club with youth riders.
Present every award the same season: one handed over months late tells the winner how little it mattered.
Raffles, drinks and thanking volunteers beyond the club
Raffles in Great Britain. The Gambling Commission's guidance on raffles at events describes an "incidental lottery" at events such as "fundraising dinners". Tickets are sold during the event, a maximum of £100 of proceeds can cover expenses and £500 can buy prizes, and it says: "You can only run an incidental lottery to raise money for charity, not for private gain." The Gambling Act 2005 (section 19) also treats a society run for supporting sport as non-commercial, but ask your licensing authority or federation whether your club fits before you sell a ticket.
Raffles in France. Service-Public's page on lotteries, tombolas and lotos run by associations (checked by the site on 25 August 2026) explains that a tombola for sporting purposes, with objects as prizes, needs authorisation from the mayor of the commune where the association has its registered office (in Paris, the préfet de police). Ask your mairie early. In Spain and Italy, ask your ayuntamiento or comune and RFEC or FCI.
Drinks. Simplest everywhere: a licensed venue that sells the drinks. If you're in a hall in England or Wales and the club sells alcohol, GOV.UK explains the temporary event notice (for fewer than 500 people at all times, including staff, with at least 10 clear working days' notice). In France, ask your mairie before the club runs a bar itself.
Beyond the club, Scottish Cycling's 2026 awards include a Volunteer of the Year category, and Cycling UK keeps a Roll of Honour with long-service certificates for volunteers. Thornbury volunteer Emma Pritchard: "I don't volunteer to be thanked but because I find it fulfilling. Therefore, receiving the Recognition Award was great because it said, 'we see everything you do for the club and want to say thank you.'" FAQ
How many awards should a cycling club give?
Eight to ten headline awards. Cover speed, participation, progress and service, give each a one-line criterion and a named decider, and the presentation stays under about 25 minutes.
Who should choose Club Person of the Year?
The members. Open nominations eight weeks out, shortlist, and let members vote for two weeks. Leave Volunteer of the Year to the committee.
Can a committee member win a club award?
Thornbury RC (a running club) bars serving committee members from its annual volunteer recognition awards. We'd extend that to service and members'-vote awards; write the rule down.
When should we hold the awards dinner?
Once the season's results are final. The clubs we read held theirs anywhere from November (Lancaster) to May (Louth). Pick a date at least eight weeks out so nominations can run.
Can we run a raffle at the club dinner?
In England, Scotland and Wales, read the Gambling Commission's incidental lottery guidance; in Northern Ireland, which has its own rules, ask your district council; in France, a tombola needs the mayor's authorisation (in Paris, the préfet de police); elsewhere, ask the town hall and your federation.
How we made this. Written by club riders who organise club events, with AI help for research, drafting and translation. The 55-award count is our own classification of five clubs' published award lists (linked above). Counting rules are in the classification paragraph above. The budget is a made-up worked example; 2 minutes per award is our assumption. All sources were read on 21 October 2026. General guidance: check your club's rules, federation, venue and local authority.
